How to Set Up a Simple Bookkeeping System in QuickBooks Online

Clean books don't require an accounting degree. This step-by-step guide walks you through setting up QuickBooks Online for your small business.

Good bookkeeping is the foundation of a healthy business — and QuickBooks Online makes it more accessible than ever. You don't need an accounting background to set it up correctly. Here's a step-by-step walkthrough.

Step 1: Choose the Right Plan

QuickBooks Online offers several tiers. For most small businesses, Simple Start or Essentials is sufficient. If you have employees or need time tracking, Essentials or Plus is the better fit. Avoid over-buying — you can always upgrade later.

Step 2: Set Up Your Company Profile

Enter your business name, industry, and fiscal year start date. Choose your accounting method — most small businesses use cash basis, which records income when received and expenses when paid. Accrual basis is more complex and typically used by larger businesses.

Step 3: Connect Your Bank and Credit Card Accounts

This is the most time-saving step. Connect your business checking account and any business credit cards. QuickBooks will automatically import transactions, which you then categorize. This eliminates manual data entry and keeps your books current.

Step 4: Set Up Your Chart of Accounts

QuickBooks creates a default chart of accounts based on your industry. Review it and customize it to match your business. Common categories include Revenue, Cost of Goods Sold, Payroll Expenses, Rent, Utilities, Marketing, and Professional Fees. Don't over-complicate it — 15 to 20 categories is usually enough.

Step 5: Set Up Customers and Vendors

Add your regular customers and vendors so you can quickly create invoices and track bills. Include contact information, payment terms, and any default tax settings.

Step 6: Create Your First Invoice

Test the system by creating an invoice for a current client. Set up your invoice template with your logo, payment terms, and accepted payment methods. QuickBooks can accept online payments directly through the invoice if you enable that feature.

Step 7: Establish a Weekly Bookkeeping Routine

The biggest mistake small business owners make is letting transactions pile up. Set aside 30 minutes each week to review and categorize imported transactions, send any outstanding invoices, and check your accounts receivable. Monthly, reconcile your bank accounts and review your profit and loss statement.

When to Bring in a Professional

QuickBooks is a tool — it doesn't replace judgment. If you're unsure how to categorize transactions, dealing with payroll, or preparing for tax season, working with a bookkeeper ensures your records are accurate and your deductions are maximized. McCloud & Associates offers monthly bookkeeping services starting at $300/month.
